Terms & Conditions of Service
Effective Date: 1st November 2025
IMPORTANT NOTICE: These Terms and Conditions constitute a legally binding agreement between Prime Grade Education (hereinafter, "PGE," "we," "us," or "our") and the Parent/Guardian and the Student (collectively, "Client," "you," or "your"). By applying for and accepting tuition services from PGE, you agree to be bound by these terms.
1. Introduction and Definitions
1.1. The Services: PGE provides specialist academic coaching and tuition services for students in Years 3-13, focusing on 11+ entrance exams, SATS, and a selected number of GCSE, and Sixth-Form subjects, delivered online or in-person at various locations within the United Kingdom.
1.2. Enrolment: Enrolment is conditional upon successful completion of the application form and subsequent written confirmation of acceptance by PGE, including the assignment of a suitable tutor and session time.
2. Fees and Payment Terms
2.1. Monthly Subscription: Tuition fees are charged on a monthly subscription basis, payable in advance.
2.2. Initial Payment: The initial tuition fee for the current calendar month is payable immediately upon confirmation of your child’s enrolment and tutor/class assignment. This initial amount will be pro-rated to cover the period from the agreed start date until the final day of that calendar month.
2.3. Ongoing Payments: All subsequent monthly fees are due on the 1st day of each calendar month thereafter.
2.4. Late Payment: PGE reserves the right to suspend tuition services if payment is not received within 5 days of the due date. Reinstatement of service is contingent upon full payment of outstanding fees.
2.5. Fee Changes: PGE reserves the right to review and adjust tuition fees annually. You will be notified in writing at least 30 days before any changes take effect.
3. Scheduling and Attendance
3.1. Session Length: All standard class tuition sessions are two hours in duration and include short, structured breaks. One-to-one tuition services may vary in length.
3.2. Allocated Time: Tuition sessions are booked for the agreed days and times, as confirmed during the enrolment process.
3.3. Client Non-Attendance (Absence): If a student misses their allocated session, they must utilize the established Catch-Up Policy:
a. Flexible Rescheduling: The student may join any other similar class running within the same week, subject to availability and written approval from PGE administration.
b. Virtual Learning Access: The student will be provided with access to a recorded video of the missed session via the dedicated virtual learning platform.
No monetary refunds will be provided for client non-attendance.
3.4. Tutor Cancellation: In the event a tutor cancels a session due to illness or other unforeseen circumstances, PGE will offer one of the following:
a. An alternative live session time with the same or an alternative specialist tutor during the same week; or
b. An alternative tutor offering a live session or virtual session at the same timeslot; or
c. The student will be provided with access to a recorded video of a similar session via the dedicated virtual learning platform; or
b. A full credit for the missed session to be applied to the following month’s invoice.
4. Termination and Cancellation Policy
4.1. Notice Period: To terminate the tuition services, the Client must provide PGE with written notice of termination via email to hello@primegrade.co.uk at least 30 days prior to the 1st day of the month in which tuition will cease.
4.2. Cooling-Off Period: The Client has the right to cancel their enrolment and receive a full refund of any fees paid (excluding costs for any sessions already consumed) within 14 days from the date of confirmation of enrolment (the "Start Date Confirmation").
4.3. Waiver: If tuition sessions commence during the 14-day Cooling-Off Period at the explicit request of the Client, the right to a full refund is maintained, but PGE will deduct a pro-rata amount for any sessions already attended or delivered.
4.4. Refund Processing Timeline: All approved refunds will be processed and returned to the original payment method within 14 business days from the date of final written confirmation of the refund amount.
4.5. Disputed Charges: If a Client initiates a chargeback or payment dispute without first utilizing the official 30-day termination procedure, PGE reserves the right to suspend the student's access to all services (including the Virtual Learning Platform) until the dispute is resolved.
4.6. Financial Obligation: The Client is financially responsible for tuition fees throughout the entire notice period, regardless of attendance.
4.7. PGE Right to Terminate: PGE reserves the right to terminate services immediately without notice if the Client is in breach of these terms (including non-payment) or if the student's behaviour is deemed disruptive, inappropriate, or harmful to the learning environment.
5. Virtual Learning Platform
5.1. Access: Access to the virtual learning platform is provided to enrolled students only and is intended solely for educational purposes, including accessing recorded sessions and homework materials.
5.2. Copyright: All materials, recordings, worksheets, and resources provided on the platform remain the intellectual property of PGE and are protected by copyright. They may not be shared, reproduced, or distributed outside of the immediate household without express written permission from PGE.
6. Limitation of Liability and Disclaimer
6.1. No Guarantee of Results: PGE employs highly qualified tutors and utilises proven academic strategies. However, we cannot and do not guarantee specific academic results, exam grades, or selective school placements. Student success depends on consistent effort, prior knowledge, and engagement outside of the tuition sessions.
6.2. Data Protection: PGE will handle all personal data in accordance with its Privacy Policy, which is available on our website at www.primegrade.co.uk.
7. Governing Law
7.1. These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales, and any disputes arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
